Reporting To: Church ManagerRole Purpose
The Pastoral Services Officer supports the pastoral and administrative operations of the parish by providing front-line hospitality, administrative coordination, and operational support to the Parish Office. This role serves as one of the first points of contact for parishioners, visitors, and the wider community, contributing to a welcoming, respectful, and faith-filled environment. Through reliable administrative support, the role enables the clergy and parish team to focus more fully on pastoral ministry and parish life.Key Responsibilities
Working under the supervision of the Church Manager and in collaboration with the parish team, the Pastoral Services Officer will be responsible for the following:Front Office & Parish Engagement
Attend to phone calls, emails, and walk-in visitors in a welcoming and professional manner
Respond to general enquiries regarding parish life, ministries, Mass schedules, and church activities
Provide accurate information or direct enquiries to the appropriate clergy or staff
Administrative & Operational Support
Manage room bookings for meetings, pastoral activities, and parish events
Issue, track, and manage access card keys in accordance with parish procedures
Provide general administrative and clerical support to the Parish Office
Records & Documentation
Maintain and update parish sacramental records with accuracy, care, and confidentiality
Assist in the preparation, collation, and coordination of the weekly parish bulletin
Ensure proper filing and record-keeping in accordance with parish and Archdiocesan requirements
Finance & Collections Support
Assist with Mass collections, including the proper counting, recording, and documentation of stipends and donations
Adhere strictly to parish financial procedures and internal controls
Compliance & Confidentiality
Handle confidential information with integrity, discretion, and accountability
Comply with parish procedures, Archdiocesan policies, and applicable civil regulations
Qualifications
Minimum GCE “O” Level qualification
Proficient in Microsoft Office applications (Word, Excel, PowerPoint)
Experience & Skills
Relevant administrative or office support experience preferred
Strong organisational skills with attention to detail
Ability to manage multiple tasks in a calm, structured, and professional manner
Willingness to learn and grow within a church-based work environment

Training & Support
Training and support will be provided to familiarise the incumbent with parish systems, procedures, and Archdiocesan requirements. Applicants are not required to have prior church administration experience.
